Got a client email with all the job details buried in it? Instead of transcribing it field by field, paste the email into CoachQuote's AI intake. The AI reads the message and extracts pickup, destination, date, time, passenger count, and any special instructions — then pre-builds the job for you to review.
From the dashboard, tap Fill from email, or open a new job and tap the same button in the top-right of the job screen. Either way opens the AI intake panel.
Paste any client email, text message, or booking request. It doesn't need to be formal or structured — the AI handles casual language, vague location references, and incomplete requests.
The AI shows you a preview of what it found — pickup, destination, date, time, PAX, notes. Check it over. You can edit any field before creating the job.
Tap Create job from this. The job is built with all extracted fields pre-filled and the status set to AI Quote — a reminder that the figures came from AI and need operator verification before you send anything to the client.
Instead of estimating distances or looking up routes manually, CoachQuote can resolve any address through Google Maps and fill the leg automatically — kilometres, drive time, and a heavy vehicle toll estimate, all in one step.
Type any address, suburb, landmark, or venue name into the leg's From and To fields. No exact formatting needed — Google resolves it.
The 🗺 Get route button on the leg sends the addresses to Google Maps. The km, drive time, and toll estimate fill in automatically within a few seconds.
Toll estimates use heavy vehicle rates by default (current Transurban/Linkt rates). If you select a minibus or car on the job, the tolls recalculate automatically using the lower car rate.
If the pickup address contains an airport or terminal, CoachQuote adds the airport access fee as a named extra on the job — itemised on the client quote so it's never forgotten.
Any job created via AI intake is given the status AI Quote automatically. This is a flag for the operator — it means the job was system-generated and has not yet been manually reviewed.
Check the km, drive times, and tolls against your own knowledge of the route. The AI reads text — it can't account for local shortcuts, road closures, or client-specific conditions.
Once you've reviewed and are happy with the job, change the status to Quoted (or another appropriate status) from the job status dropdown. This removes the AI Quote flag and signals the job is operator-approved.
If the auto-added airport access fee doesn't reflect the actual charge (e.g. the pickup ran long and incurred a higher fee), edit the amount directly in the Extras section before generating the client quote PDF.
