Managing clients

Every client you quote for can be saved so their details auto-fill on future jobs. Over time you build a clear picture of which clients generate the most work — and which ones consistently ask for below-cost rates.

Add a client from the job form

Start typing in the Client field on any job — if the name is new, tap Add as new client to save their details without leaving the quote.

Client details

Name, organisation, phone, email, and billing address. These print on the client quote PDF automatically.

Job history per client

Open any client record to see all jobs linked to that client — quoted, accepted, completed, and declined. Useful when negotiating repeat business.

Frequently asked questions

Is my data secure?

Yes. CoachQuote uses Supabase as its database — hosted on AWS in Australia — with Row Level Security enabled on every table. Your jobs, clients, and vehicle data are only accessible to your account. No other operator can see your data.

Does it work on mobile?

Yes — CoachQuote is fully responsive. It works on iPhone, iPad, Android, and desktop. The interface adapts to your screen size. PDF export on iOS automatically downloads the file rather than previewing it in-browser.

How do I update my diesel price?

Go to Settings → Diesel price, or tap the Update link on any job's calculation card. CoachQuote flags when your diesel price is more than 14 days old so you don't quote on stale data.

Can I use CoachQuote for wholesale / sub-contract jobs?

Yes. Switch the job type to Wholesale and enter the rate being offered. CoachQuote will show you whether it covers your costs — so you can accept or negotiate from a position of knowledge, not guesswork.

What is the NHVR fatigue warning?

If the spread between your first departure and last arrival exceeds standard fatigue management thresholds under the Heavy Vehicle National Law, CoachQuote displays a warning. This is a reminder only — operators are responsible for their own compliance. It is not legal advice.

I can't find the answer here — how do I get help?

Use the Help button inside the app (bottom-right corner when logged in). Send your question and David will get back to you personally — usually within a day or two. CoachQuote is built by an operator, supported by an operator.
